Terms and Conditions – Parent/Carer Agreement


The following terms and conditions constitute your Parent/Carer Agreement with the Club regarding the provision for your child at our Jets setting. Through this Agreement the Jets Activity Club may be referred to as ‘we’ and the Parent(s)/Legal Guardian as ‘you’.

Reserving your Place and Registration: To request a place for your child at Jets Activity Club, you must complete a registration form and return it to the setting. All registration forms should be completed with two signatures. The manager of the Jets Activity Club setting will contact you in writing to confirm that a place is available for your child.

Your Child’s Requirements: Before you join the Activity Club setting, you agree to provide, in writing all relevant health and care requirements. This should include allergies/intolerances or medical conditions which relate to your child. It is your responsibility to notify the club of any change to this information on an ongoing basis. You must also agree to provide the setting with up-to-date contact details for you and any authorised person.

Activity Club Fees: Fees are dependent on your child’s age and booking pattern. All fees are due on or in advance of the 1st day of the month (Due Date). Fees should be made by BACS direct into Jets Activity Club bank account. We cannot accept payments from childcare voucher companies and through the government Tax Free Childcare Scheme, as this is not a care provision. The payment must clear into our bank account by the Due Date otherwise we will automatically apply it to the next month’s fees and therefore consider the current month’s fees outstanding. If your fees are paid by a third party on your behalf, we may require you and/or the third party to enter a supplementary agreement. The first month’s fees are due on or before the child’s first day of attendance. All fees are calculated on an actual attendance patterns basis and are term time only in line with the Local Authority School Calendar.

The Activity Club also reserve the right to terminate or suspend your child’s space with immediate effect if you do not pay the Fees by the Due Date or you have any outstanding fees. Credit control procedures are in place to follow up with non-payment of fees. Jets is entitled to charge 10% of the outstanding balance on any late fees. We may also charge for all other associated costs related to non-payment or recovery of Fees.

We will not refund any Fees if your child is absent due to illness, holiday, or as required under the setting’s Policies and Procedures.

The club will not refund any Fees or be in breach of this Agreement or otherwise liable to you due to events outside its reasonable control. Such events include without limitation, fire, war, acts of terrorism, strikes or other industrial action, infectious diseases, epidemics, inclement weather (such as snow or flooding), unforeseeable repairs or any failure to public or utility services.

In the event the setting applies any discretionary discount to the Fees, this will be solely as a gesture of goodwill and will not constitute a variation to the Agreement.

A seven-day notice period in writing is required for any changes to start dates, if notice given is less than seven days then you will be required to pay from the original date booked.

The club reserves the right to review the fees. In the event of there being any changes to the fees one calendar months’ notice will be given.

Late Pick Up/Unplanned Additional Hours: Late collections after the session has finished are charged at a flat rate of £8.00 for every 10 minutes e.g. 1-10 minutes £8.00, 11-20 minutes £16.00.

Additional sessions and changes in sessions: Subject to availability the setting’s you may increase or decrease your child’s booked sessions. Four weeks’ notice must be given in writing to reduce sessions. We are unable to accommodate swapping of your booked sessions from one day to another. If available, you may book extra sessions. Any extra sessions booked will be invoiced at the time of booking and payment made on or before attendance of the booked extra session. Fees for additional sessions are as per the Settings Fee sheet.

Invoices: It is the lead registered persons responsibility to inform the Club if invoices are not being received via email each month.

Notice Period: A minimum of four week’s written notice is required to terminate your child’s place. The setting reserves the right to terminate your child’s place with immediate effect if you breach this Parent Agreement, have fees outstanding or at our discretion consider the termination of your child’s place to be in the best interest of the Jets Activity setting, the welfare of your child or other children in the Setting or Staff.

Administration charges: Any official letters required for external agencies or bodies regarding proof of attendance and/or fees within Jets may incur a minimum charge of £10.00

Opening Hours and Collection: Please check with the setting to find the opening hours. Only you or authorised contacts who are over 18 years old can collect your child from the Jets Activity setting. If your child remains in the setting after the specified closing time and the setting has not been able to reach you or an authorised contact, we will call social services as the setting deems appropriate. If you are late collecting your child, we may charge you a late pick-up fee as described above.

Illness and Medication: We take guidance from NHS Scotland. Children cannot attend our Jets Activity setting if they are suffering from sickness, diarrhoea, have an infectious illness or have any non-specific rashes until they are symptom free or have been cleared to return to the Jets Activity setting by a doctor. If you child becomes unwell or injured at the Jets Activity setting, we may administer first aid, arrange medical assistance or require an early collection. If we are unable to contact you, we will contact an authorised person.

The Jets Activity Club cannot be held responsible to administer any medication to your child. Your child’s attendance at the Jets Activity Club whilst on medication is at our sole discretion.

Contracting with Jets Activity Staff: You agree to pay a fee if a staff member leaves our employment or reduces their working hours to work for you (Recruitment Fee). The Recruitment Fee will be 20% of the annual gross market rate salary of an individual with equivalent qualifications and role as the staff member. If you choose to have a staff member care for your child during their own time, you must notify the setting in writing beforehand. You agree to hold the setting and the Club harmless for any liability, loss or damages you may incur as a result of such arrangements.
